What data do we collect and why?
Contact form
Through our contact form we process your name, e-mail address, phone number (optional), organisation, type of request, sector and message. We use this data to answer your question and, if you wish, to prepare a quotation or collaboration. The legal basis is the consent you give when submitting the form and taking steps at your request prior to entering into a contract. You receive a confirmation e-mail and your request is forwarded by e-mail to our staff.
Downloading project sheets
To download a project sheet we ask for your name, organisation and e-mail address. We also record which project sheet you requested. We use this data to send you the sheet and to keep you informed afterwards about our projects and services. We only send our newsletter if you have given your consent. You can unsubscribe at any time via the link at the bottom of every newsletter.
Applying for a job
We manage our vacancies through the Jobtoolz platform (werkenbij.deklerckengineering.be). When you apply, Jobtoolz processes your application data on our behalf. More information can be found in the privacy statement on that application page.
Statistics and marketing
Only if you give your consent through our cookie banner, we use:
- Google Analytics 4 to measure how visitors use our website;
- the Meta Pixel and the LinkedIn Insight Tag to measure the results of our advertising and to show you relevant ads on those platforms;
- Leadinfo to recognise which organisations visit our website, based on the IP address of a company network.
You can withdraw your consent at any time through the cookie preferences in our cookie policy.
Security and technical data
To protect our contact form against spam and abuse, we use Google reCAPTCHA. Technical data such as your IP address and information about your browser and your interaction with the page are sent to Google. In addition, our hosting partner records technical data such as IP address, browser type and time of visit in server logs. Legal basis: our legitimate interest in keeping the website secure and available.
We do not take automated decisions about you and we never sell your data to third parties.
With whom do we share your data?
We only share your data with parties that help us run the website and provide our services, and only to the extent necessary:
- Combell nv (Belgium) – hosting of the website and the database;
- Brevo (Sendinblue SAS, France) – sending the e-mails of our forms and our newsletter;
- Jobtoolz (Belgium) – management of vacancies and applications;
- Google – reCAPTCHA and, with your consent, Google Analytics;
- Meta, LinkedIn and Leadinfo – only with your consent;
- Compagnon bv – development and maintenance of the website.
Google, Meta and LinkedIn may transfer data to the United States. This is done on the basis of the EU-US Data Privacy Framework or the standard contractual clauses of the European Commission.
How long do we keep your data?
- Form submissions are kept for 30 days in our website database and are then deleted automatically.
- We keep the e-mails we exchange about your request for as long as needed to follow up on it. If your request leads to a collaboration, we apply the statutory retention periods for our accounts and files.
- Your newsletter data is kept until you unsubscribe.
- For cookies, the durations in our cookie policy apply.
Your rights
You have the right to access your data, have it corrected or erased, restrict its processing, object to its processing and have it transferred. You can always object, free of charge, to the use of your data for direct marketing. If you have given consent, you can withdraw it at any time.
